Creating a Registered Online Service User (ROSU) Account

Note - If the patient has already created an Online Account for Online Appointment purposes, they will not have to register again to use Online Repeats. If you do not wish patients to be automatically registered for additional modules contact Vision Sales or your account manager. See also Disabling Online Services.

Complete the Online Services tab as follows:

  1. From the Vision front screen, select Registration and selectthe patient required.
  2. Click on the Online Services tab.

  3. Select or add an email address. To add a new email address click Add , type the patient’s email address in Contact, tick Verified then click OK to save and close. This email address is used to send confirmation and reminder messages to the patient.

    It is not mandatory that a patient has a recorded email address, however without a verified email recorded when you click Create Online Account the following message displays:

    'Without a preferred e-mail address, a Registered Online Service User will not be able to complete their online registration for the service. Do you still want to continue?

    Click:

    • Yes to continue the online account creation, or
    • No to return to the Online Services tab without creating an online account.

      Note - No Patient Services communications are sent via email or SMS unless the communication details have been verified.

      Important - It is possible to verify more than one of the same type of communication , eg two email addresses, the contact that displays when you click OK on the Registration details is the contact that is used by Patient Services. This is known as the 'preferred' contact.

  4. Next, select or add a verified SMS Number. To add a mobile number click Add , type the mobile number in Contact, tick Verified then click OK to save and close.

  5. Now click Identification and record the Identification provided by the patient, see Add Patient Identity Verification Details for futher details.
  6. Click Create Online Account, Microsoft Word is launched with a letter containing the patient’s Online Registration Details.
    • VOS - The letter contains a Registration Token, which your patient needs for registering for online services.
    • Patient Services - The letter contains a Linkage Key, which your patient needs for registering for online services.

      Note – The registration letter has been updated to include the patients address and the expiration date of the Registration Token (if set), see "Patient Services - Configuration User Guide".

      Training Tip - The Registration Letter can be edited to add additional practice details. Go to P:\Wordproc\Template\VosRegdetails.doc.

  7. Check the details and if correct, print out the letter and hand it to the patient, if there is a verified email address a pdf copy of the letter is also emailed.
  8. The Online Services tab is updated to show that the account has been Created. Click OK to close.

    Important - If patients want to set up more than one account (eg for other family members) it is advised that they use a different email address for each account. If they use the same email address for multiple accounts, appointment booking and prescription ordering confirmation emails for all accounts are sent to the same email address.
